 Introduction

You are about to start your final graduation project. After having studied a wide variety of subjects and doing several projects it is now time to show you are ready to start your professional career. In the final eighth semester you will conduct a research based project in a business or non profit organization. The project always deals with real practical issues that the organization faces. The intention is that you come up with practical and feasible solutions to help solve the issues at hand. The intention is that both the organization and you benefit. The organization gets a highly skilled temporary employee to work on a vital issue. You gain a valuable learning experience and a way to show what you can do in a real business setting.
This brochure intends to answer your questions about the nature of the projects, the practical aspects and the assessment procedure.
The appendices contain formats that are intended to draw up a graduation proposal, a project plan and some other aspects. Please check these carefully. #p#分页标题#e#
 
1. What’s the scope of projects?

Given the nature of the IBMS program, the range for potential topics for internship projects is extensive. In general however, most projects are in three main fields of interest: marketing, management & organization and finance. To provide an indication of possible project topics, some examples are provided for each of the main areas.

This list is by no means exhaustive. Every graduation project is unique, matching the organization’s needs with your own skills and interests. Many projects will involve aspects from all three areas. The internship assignment should be project based. It starts with a well- defined problem definition. At the end of the project, the clearly defined objectives must have been realized. Given the nature and standards of the IBMS curriculum, the project must involve a good deal of research and should have strategic implications. Naturally, since we talk about an international curriculum, the assignment must also have international dimensions.

 
2. Finding an Internship position

First and foremost, finding a suitable internship position is your own responsibility. You should approach the finding of an internship as if applying for a job. You will generally be more successful if you prepare yourself well and start early. Also important is to realize for yourself what kind of assignments you are interested in and in what kind of organization you feel comfortable. It would be a shame if you have to do an assignment you’re not really interested in. It is always better to work on something you enjoy doing, not only for your own piece of mind but also for the quality of your work.
Once you have some idea of what you want you can start looking for a company. Generally there are two ways of getting in touch with potential companies:

1. open applications
2. using your own network
3. IBMS leads

It is always possible to contact a company outright, especially if it is an organization where you really would like to work. It is also a bit of a shot in the dark since you don’t know if this company is looking for an internship student. Motivate your application well. It is also a good idea to provide the company with the company leaflet that is posted on the site. This will help them understand the entire process.#p#分页标题#e#

A second way of getting in touch with companies is using your network of family, friends or fellow students. They may have leads to follow up on.
It is always a good idea to ask students who have recently graduated how and where they got their internship. Often, organizations that have had good experiences with graduate students in the past, like to hire new students for projects.

The third option is to contact the companies registered in the file at the secretary’s office. Also on the IBMS student’s page you can frequently see postings from companies asking for internship students.

Part of the project-application process involves discussing the nature of the internship project. Don’t be put of if the project that the company offers, initially does not meet the criteria described above. You can use your own creativity and persuasive skills to steer the project definition in a direction that meets the IBMS standards. 

But no matter that you are not on your own and that you can always ask others around you for help, nothing happens if you don’t go out there and be proactive yourself.

IBMS does not pose any restrictions on the type of organization in which to do your internship. It could be in any industry. We do however pose some conditions on the quality of the organization. The organization should offer a professional working environment and a minimum of 15 employees. For instance, the newly opened restaurant of a friend of yours is not the kind organization that is suitable for a graduation project. Also the organization must be willing and able to appoint someone knowledgeable as your company mentor. 

 
3. When can you start?

There are two conditions that must be met before you can start your project:

1. An approved graduation proposal
2. A maximum of 10 unfinished ECTS from the minor semester 7 (all credits from semesters 3,4,5 &6 must be obtained).

Once you have found an organization and discussed the project with them it is time to write down the details in a graduation proposal. You must use format A in the appendix for this. The proposal contains details about the organization and assignment. You submit the proposal to the IBMS graduation coordinator via this e-mail address:  Businessplacement-8@fontys.nl

The graduation coordinator will review whether the assignment and organization provide a suitable environment for graduating. When approved you will be notified by the coordinator who your IBMS tutor will be. Often though, the coordinator will have some questions or remarks before giving approval. If you have any questions or doubts about the assignment you can always consult the graduation coordinator before submitting the proposal.

The reason for the second condition to be fulfilled before starting is simple. We don’t want you to start your graduation project with too much unfinished business from previous semesters taking up your time. You can only start when you have no more than 10  ECTS from semester 7 open. Be careful not to make final commitments to a company before meeting the credit deadline. It leaves a bad impression if you accept an internship, while knowing you will not get permission to starts because of insufficient credits.#p#分页标题#e#
When both conditions are met a member from the IBMS academic staff will be appointed as your graduation tutor and you can start.

The final internship of the IBMS curriculum lasts 17 weeks minimum. It is your responsibility to make sure you have an approved proposal and sufficient credits before your starting date of choice. If you do not meet these deadlines it results in having to delay the starting of your internship.


4. What can you expect from Fontys?

Firstly a member of the academic staff of IBMS is appointed as a tutor to you. This person is your main contact with Fontys. The IBMS tutor will visit you somewhere in the first few weeks of the internship. It is preferred that the company mentor is present too so that all key players in your project can get acquainted. Other visits can be scheduled should there be a need for it. This is however your responsibility.

The most important responsibility of the IBMS tutor is to counsel you while working on the project and writing the report. It is your responsibility to ask for counsel and feedback if and when you feel a need for it. Be proactive in this aspect too. The tutor can only be of use if you show what you’re doing. 


5. What can the organization expect from you?

In short the organization expects you to work on the project and deliver the results that were specified. You are however also a temporary co- worker in the organization. You should therefore follow the same code of conduct and professional behavior as the other employees. In general you are expected to work during the usual business hours. All in all the internship is a full time job. Naturally it may occur that you have to work out of the office from time to time, especially when doing research. Discuss this with your company mentor so that there are no misunderstandings. Besides the professional aspect, there is the social aspect of working somewhere. This is something not to be underestimated. Try to be a colleague too, not just a hired gun who’s doing a project. It will eventually make your work easier and your time more enjoyable.
It is not the intention that you work extensively on daily activities and operations of the business. On the other hand it is not entirely out of order that you get involved in some operational routine. Often it is the best way to learn what the business is about. These activities should not interfere with the overall objective of the internship however. The project should come first. 
 

6. What can you expect from the organization?

To ensure you a smooth introduction in the organization, a company mentor should be appointed. The company mentor helps you get settled in and get started. He or she will also monitor and evaluate your performance and serves as sounding board while working on the project. Furthermore you should have a workstation with computer access and other common facilities. A compensation of roughly €400 per month is customary (though not mandatory).#p#分页标题#e#
To be able to work successfully it is vital that you have a good relationship with your mentor and other colleagues. Often you will need their help to get information on the company, their customers or other matters. People usually are willing to be of assistance but realize they are busy too so make appointments if needed. Also realize their willingness to help you increases if they know you and know what you’re doing. Here too, it helps to be proactive and open minded.


 
7. Working on the project

Since your assignment is project based your first activity should be to write a project-plan. This is the first document that you will discuss with your company - and IBMS tutor. Describe clearly what you think you need to do to be able to meet the project’s objectives. Also give an indication of the time involved in the various steps.
It is not necessary to cram all of your (theoretical) knowledge in your project work. Don’t be afraid to be selective. If you can motivate why you use certain concepts or models and leave others out, it demonstrates understanding of the situation. It does not mean you’re ignorant. In other words, only include activities that help you meet the objectives.
Many students for instance use the DESTEP approach when analyzing a market. While this is a useful framework it should not be taken literally. Some students write extensively about a country’s geographical composition and weather conditions, thus paying attention to the E of ecological environment. While this may be interesting information for a tourist brochure, it is not relevant information for writing a marketing plan for office furniture. Keep your eye on the ball and don’t waste time on gathering and analyzing irrelevant information.
Every time you have finished a concrete aspect of your project, (e.g. customer survey, competitor analysis etc.) it is recommended you ask feedback from your company - and IBMS tutor. This way you work step by step towards the final report.
The final report is a maximum of 30 pages (excluding table of contents and appendices). This report is the end result of your internship. Naturally the specific contents of your report will depend on the nature of your assignment. In general, you describe your research, its results and how you have used the results to meet the problem objective. Check appendix H for the thesis structure requirements. There is one important aspect that is expected in every report: an estimate of the financial consequences of your recommendations. This should not be a theoretical piece but a prognosis of the necessary investments and expected revenues and costs of your plan. A marketing strategy, a purchase plan or any other plan is not of much use if you can not translate it in financial consequences.
When you have finished working on the report, you hand in 4 hard copies at the secretary’s office.

8. Assessment

The overall project is assessed on three main aspects:#p#分页标题#e#

1. professional attitude and behavior
2. quality of report
3. quality of defense

More specifically you are assessed on the following competences:

To enable the assessment, input from the company mentor is required. The company mentor is therefore asked to fill out an assessment form (appendix F) twice during the internship. The first time roughly halfway the project and the second time towards the end. These assessments will be discussed with the organization and the IBMS tutor.
The internship’s final product is a written report in which you describe the project’s objectives, the research activities, research outcomes, conclusions and recommendations. For the company this report is a valuable document that contributes to the project’s objectives. For Fontys, the report serves as the graduation thesis. After submitting the report at Fontys, you have to defend this report in front of an exam committee of three. This committee consists of two members of the academic staff of IBMS and one expert from the field. The committee members will ask questions about your research methods, approach and conclusions and recommendations. The company mentor is welcome to attend this session but not in an active capacity. The session takes about one hour. At the end of the session the chairman of the committee will explain the deliberations and the judgment of the committee.

 Ad 1 Professional attitude and Behavior
Your company mentor, will be asked to assess your performance in the company on two occasions. The assessment moments are listed in the appendix. You yourself must ensure that the assessments are in fact carried out, and that they are also discussed with you. If any aspects emerge which require improvement, ask your mentor to list the agreements reached in that connection, on the assessment form. These assessment forms represent a key component in the recommendation from the mentor to your IBMS tutor for assessing your performance during the project. The company mentor and IBMS tutor will also discuss these assessments together. The IBMS tutor will then determine whether or not you obtain the credits. If the first assessment is of a fail grade you must write a plan to show how you will achieve a positive result the second time.
The second assessment is also the final assessment. This must be a pass. If this is not the case, you can not defend your report and you will be required to carry out a new project.

Ad 2 Quality of report

Your report is an important document that you write for two reasons. For the company it should be a document that is of value and will address the issue (problem) that was the basis of your project. It is also used as one of the deliverables for assessment and serves as the starting point for the final defense at school. For more details on the assessment criteria, please check appendix E.#p#分页标题#e#

It may happen that one or more members of the exam committee have doubts about the quality of the report. If these doubts are so strong that there is a good chance you may not pass the defense, you must be informed at the latest three working days before the exam. Your IBMS tutor can then advise you against participating in the final defense. In consultation with your tutor you will then decide whether or not to sit the examination.
This does not mean that admission to the examination automatically means a pass!! For every thesis there is a possibility that you will fail, given a poor defense.


Ad 3 Quality of defense

During the defense session, the examiners want to make certain that you know what you’re talking about and that you can sell your proposal. Naturally you bring your report to this session. It is certainly not expected that you can quote by heart every page that you have written. The defense is the last step in the assessment process but a crucial one. For more details on the assessment criteria, please check appendix E.
 
9 Final defense procedure

The regular final defense moments are end of June or end of January. Normally you have to hand in your thesis 3 weeks prior to the defense to allow for reading time by the examiners. To meet the 17 week project time you have to start the internship at the beginning of the spring term or at the start of the fall term to do your defense at the regular moments. It is possible to do the final defense at the end of other months too (except July). For these you will have to register in advance. Also pay attention to the exact deadlines for handing in your thesis. You can find those on the IBMS page, general information and then ‘event list’.

During the defense, your tutor, a second IBMS examiner and an external expert assess your defense. They will ask you critical questions about the thesis and the graduation project.

A defense lasts one hour and the procedure is as follows:
• introduction of exam committee;
• approx. 5 minutes private consultation between the three examiners. At this stage the opinions on the report are discussed;
• you will have approx. 5 minutes to give a short introduction. Because the examiners have already read the thesis, you should not give a presentation of the report. The use of beamers is not allowed due to time considerations!
• approx. 30 minutes for questions and answers;
• 5 to 10 minutes private consultation to establish a final grade;
• you will receive the result at the end of the defense. You will be told by the examining board whether you have passed or failed and with what grade.

If you fail, there are three possibilities:
• suspended examination; you are required to repeat a small section of the thesis; you can retake the examination several weeks later;
• new examination; you must entirely or mostly rewrite the thesis; at the end of the next semester, you will retake the examination;#p#分页标题#e#
• new project; The committee sees no possibilities within this project for writing a  thesis of sufficient quality.

10. Graduation agreements & working permits

When doing the internship in the Netherlands, no official working permits are required, not even for non-Dutch students. However foreign students who need a visa permit to stay in the Netherlands must fill out the graduation agreement (check appendix B). There is a version in Dutch and English.
When doing your graduation project in another country, you may still need a working permit from that country. Always check the local regulations.

• Problem definition. This is basically a description of the background of the problem/challenge that the company faces.
• Problem objective. This is a description of the nature of your final report. It is an indication of what you will deliver at the end of the internship e.g. “a strategic marketing plan to enter the French market”.

Also indicate in what professional field you will be active, e.g. strategic marketing, export marketing, purchasing, supply chain management etc..

Remember that the task must have both a strategic component and assist in solving a specific problem.

FORMAT D: Project Plan
The project plan is an important document. It is your interpretation of the problem, the task, the final product and how to get there.

The project plan generally consists of the following components:

1 Background

Organisation description, background.


2 Problem definition and objective

Why is the project being carried out? What is the objective, what should be achieved with the final product? Please be as specific as possible.


3 Products and quality requirements

What sub-products are there, what components make up the final product? Which requirements must the products fulfil? It must be possible to determine subsequently whether the products fulfil these requirements.

4     Research plan

To be able to meet your objectives, you will have to conduct research. Indicate clearly what you need to know. Formulate these as research questions. Also indicate by what manner you can find answers to these questions (desk research / field research). The research-plan is one of the most vital parts of the project plan. It forces you to think about what kind of information you need for the assignment. It will hopefully also prevent you from gathering information that is irrelevant (also check section 7, working on the project).

5 Project organisation and planning

Converting points 1 to 4 into specific activities. What activities, when should they start, when will they be concluded? In this process, think both ‘from start to finish’ and ‘from finish to start’.


6 Risk analysis and contingency plan.

List any possible risks you may encounter during the project. For example, a common risk is getting low response on surveys. What can you do to minimize this risk? Do you have a back up plan?

Can the student, with the benefit of hindsight, come up with different approaches for the project?
Did the student apply any new theory / knowledge not previously learned in the IBMS curriculum?

 
 
Appendix H Structure of Reports

Cover  The cover should only include the title and the name of the author(s).
    
Title page           
The title page should include the title (+ subtitle). Furthermore it should show the
name of  the author(s) and the person/organisation who gave you the assignment.
In addition you can mention place and date of publication and the name of the institute for which you have made the report.

 Preface  
A preface is not directly related to the subject matter. Some matters that can be dealt with in a preface:
- Reason (information why the report was written(project, traineeship etc.)
- Background  of the author
- Description of the target group (for whom the report was written)#p#分页标题#e#
- Acknowledgements e.g. to a company, lecturer that has been useful

Table of contents                 
指导ASSIGNMENT Clearly distinguish chapters and paragraphs.
Use the decimal code system. Only apply the code to Introduction, Body and Conclusion. Do not use more than 3 numbers. Start counting the pages at the title page and start writing the numbers following the table of contents

Executive Summary 
Summarize the Introduction, Body and Conclusion clearly and concisely. The complete report is summarized as follows: Subject/problem, objectives, procedures, conclusions and recommendations

Main Text         
Introduction The introduction is the first chapter. It deals with
- What (topic, or the problem)
- Why (purpose or importance of the subject/problem)
- How (method/approach)
Furthermore the basic structure of the report is presented in the introduction
In the remainder of the report you describe your research, its results and how you have used the results to meet the problem objective.Supplementary parts     
Appendix 
The purpose of an appendix is to keep the body of the report clear, concise and readable. Every part of the report should be clear in itself, even without an appendix. Every appendix should be  referred to in the report. Label appendices with a number and a title.
 Bibliography 
This consists of an alphabetical list of the literature consulted. Mention the following aspects: Author’s Name and Initials , full title of publication , edition, place, year
