在任务一中,说明了使用哪种方式比较适合去处理客户服务,并说明了如何提供这些信息。在任务二中,对库存管理系统流程以及必要硬件和软件进行调查。在任务三中,对三种网络结构和媒介进行了描述。任务四对如何处理送货流程以及如何通过网站向客户提供送货信息进行了调查。任务五给应对网络威胁提供了方法,确保整个流程更加可靠,完整,无盗窃发生,并且介绍了当盗窃发生了如何调整库存。
 
任务六是对所有任务的总结报告,同时,将所有任务中必要的硬件和软件联系在一起来帮助完成这一系统,以下是我们的研究发现。

Introduction

I'm an IADCS student. This time assignment makes me more understanding of the network requirement for online bookstore stock control system.
 
In task 1, provide what method will suite, to process the customer services and how to provide these information. In task 2, investigate the stock control system process and hardware and software needed, In task 3, describe the three of the network topologies and media. In task 4, investigate how to handle delivery process and how to provide delivery information to the customer via website, In task 5, provide the method to prevent the network threats, to ensure the processing is more reliable, integrity and no theft, how to adjust the stock when theft occur.
 
In task 6 is the report of the all of summaries task. Also associated hardware and software needed in all task to assist to complete the system. Following is we fact finding.

Computerized stock control system is similar with manual stock management. But more flexible and information is easy to manage. There are many administrative tools needed in stock control. Stock can manage in one unit with accurate information about stock levels.
 
A).Recommendation in task 1

B) .Methods and Hardware of record new stock

Recording the new incoming stock is very important. There are my finding method and hardware used for record new stock.
 
Barcodes

There are the series of parallel line barcodes on product using reader to scan it. The data is entering into the computer.
 
Can easily configure.
 
But still time consuming and have this weakness:
 
low storage capacity
 
they only represent a series of items
 
Needs to light of sight.
 
they can only be read one at a time
 
RFID (Radio Frequency Identification) Technology

RFID technologies are Automatic Identification (Auto-ID) technologies. There are RFID simple silicon microchip tag on product and using reader to scan it. A reader may have multiple types that are responsible for sending and receiving radio waves. The data acquired by the readers is then passed to a host computer, which may run specialist RFID software or middleware to filter the data and route it to the correct application, to be processed into useful information.
 
The one weakness of RFID is higher cost.
 
There are the advantages of RFID.
 
not required line of sight
 
they can read multiples at a time
 
Fully automated and highly accurate.
 
Safety access to dangerous/secure equipment
 
Optical Character Recognition (OCR)

Automatic input of a printed document to computer.
 
The advantages are:
 
Takes less times for reentering data.
 
Supported in multiple languages
 
Large processing document is fast
 
Multi-directional OCR

One of the weakness is:
 
is not efficient in recognizing the handwriting and the fonts
 
Laser Scanner

Used to identify a product using barcode and looks up the information. Use a laser to create a scan line by projecting a beam of energy off a rotating prism or oscillate mirror. The beam is reflected out the scanner window onto the bar code, where light energy from the bars and spaces is reflected back to the scanner, collected on a mirror. Signal may then be read by decoding software within the computer.
 
The advantages are:
 
Can fast scanning over a long distances.
 
Can read very long barcodes
 
The weaknesses are:
 
The most expensive.
 
May be dangerous.
 
Location about warehouse

There are the physical warehouse is needed to cooperate with the computerized stock control system. The effective manage of the warehouse is also importance. The maximum stock level and reorder level will effect in preparing the storage space. All of the stock need to store in one place so that can easily to find. The stock should manage with record list. The list may be sorting with the stock in date. Keep a list of reorder level. Put the label on stock. Separate the new stock in beside within warehouse that can easy to manage. The security control of the warehouse is needed. The warehouse is monitored with the CCTV and locked at all time. The warehouse should be accessed by the authorized person with security passes is essential.
 
C).Method and hardware of processing order

To effective process of the order processing there are some method and hardware to be used. Computerized stock control is needed. Similar with manual stock management, but more flexible and information is easy to manage. There are many administrative tools. Stock can manage in one unit with accurate, essential information about stock levels. We can keep an attention on stock at all times.
 
The stock in and out or checking we can use (Radio Frequency Identification) reader. There are RFID tags in products. When the RFID reader is scanned the computer will fast database look-up of stock details such as the name, type, the number of items, etc. And show on monitor. There are different types of RFID.
 
Stock levels are automatically be adjusted. We can use the fixed-quantity reordering method. Setting the minimum stock items. When the reorder level is reached the stock hits lights up and remind me to reorder. We can contact the supplier by phone to reorder or via website.
 
When the order is received, the system will check the stock in warehouse whether it is out of stock or not. Then selected and checked the order item and prepares to delivery the item to customer. The delivery firm may be used and several delivery methods are available based upon the user request. However ensure that delivery status is fully informed of progress to the customer via website. Monitor the delivery process with no fault. Until the customer received the order item.
 
D).Methods and hardware for recording items dispatched

In processing order process, items dispatch to the customer is also important in business. The stock checking can monitor using the barcode system. The barcode reader is scanned, the host computer will find out all of the details of associated information.
 
There are some methods for items dispatched. The shipping, air, according the user request the dispatched method will different. Also separate the normal or immediate dispatch, the time waste and the charges will various on the user choose. The sufficient dispatched way is can promise the order items kept original quality and sent on the predetermined date and time. If any damage on order item, the system must take responsibility for process. Whether re-send the order items or return the charges based upon the user demands to deal with problem.
 
The recording the dispatched items status is needed. The recording information should be accurate. The essential way the information should be kept fully informed to the customer via website. The customer can know the information at any time and any where. Other ways to inform the customer is using email, telephone, fax, etc…The information should be store the interval period of days. At least ensuring the order items is successful send to the customer and there is no any problem on item. All of the information is completed informed to customer and all process is completed. Such as the receive product, payment charges.
 
E).Processing of reorder level

Recording the stock level is also important in the stock control system. That means a minimum stock level which we want to reorder at this level. Which items need re-ordering., which items are selling well or needed most and which are not.
 
Also to management the reorder lead time that the time between order and receiving order. Stock in hand + Stock received - Stock used = Balance left Stock reorder should be maintained, monitored and adjusted as required. Stock levels are adjusted when the items sold and purchase.
 
These are we finding methods for controlling the stock level.
 
Two-bin system

Simple re-order system by using two containers of stock. When one is empty, uses the one. At this time fill up the empty containers.
 
Efficient method
 
But waste space in the system and may be complexity manage with two system.
 
Fixed time re-ordering

Order at fixed time interval. Whether interval days, every moths or weeks reorder the stock. Need a calendar for regular tasks.
 
Safety method
 
But more cost, if the too much stock still in the system when the setting time is reached.
 
Fixed quantity reordering
The regular stock quantity that we want to reorder when this quantity is reached. But thoroughly check stock is needed and think about whether the stock levels need changing. Review stock and stock list annually.
 
This method is the most safety.
 
Even if the reorder process causes the problem, the minimum stock still have in system.
 
Just-in-time (JIT)

Keeping stocks to an absolute minimum and the raw materials are ordered only when they are needed. Reduce the lead time.
 
Minimize the warehousing space and cost.
 
Allows a little extra stock in case of unexpected delays.  
 
But this method is dangerous, if the order stock is not fulfill or out of stock in supplier when u order, that we your also might not be fulfill the customer demands and my cause the problems.
 
F).Other hardware for completed system

The host computer and computer accessories.
 
Barcode reader or RFID reader Barcode reader, Wand scanner, laser scanner or RFID reader
 
Recommendation

Follow above information. We think these are suitable method and hardware to use for the system. The following is my recommendation reason.

At this time, we want to introduce three types of media.
 
1.1Twisted pair cable

Twisted pair are individual wires which are twisted together of pairs in the jacket. Four pairs of wires in the jacket. There are two types of cable, Shielded Twisted-Pair (STP) which is used in ring topology, Unshielded Twisted-Pair (UTP) which is used in 10 Base T star topology. Use IBM connector.Data rate - maximum 1000 Mbps.
 
Advantages

easy to configures.
 
easy troubleshooting.
 
UTP cheaper than other cable.
 
Disadvantages

can connect only 100 meters distance.
 
STP is expensive cable cost.
 
UTP is not immune to noise.
 
1.2Coaxial Cable

Coaxial cable (coax) has a centre core, made with copper, surround by plastic jacket and braided shield over the jacket. There are two types of cable, thick Ethernet cable (thicket) used in 10 Base 5, AUI connector and thin Ethernet cable (thinnest) used in 10 Base 2 , BNC connector in bus topology. Thinnest cable is thinner than thicket cable, use BNC connector and maximum distance is 185 meters. Data rate - 10 Mbps.
 
Advantages

immune to EMI and RFI affect.
 
higher bandwidth and longer distance
 
thinnest is inexpensive.
 
Disadvantages

Difficult to configures and troubleshooting.

1.3Fiber optic cable

Fiber optic cable can transmit signals convert to light rather than electrical. Light is transfers on a glass or plastic core in monomode or multimode.use Straight Tip (ST), Subscriber connector(SC), Mechanical Transmitter Register Jack (MTRJ) connector. Data rate - above 1000 Mbps.
 
Advantages

cover the jacket which is made of Teflon or PVC, fully immune to corrupt...
 
can transmit above 4kms.
 
highest transfer speed.
 
Disadvantages

difficult to install.
 
requires more materials.
 
expensive cable cost.
 
2.Topology

2.1Bus

All computers are connected to a single backbone via T connector. Need to use terminator at both ends of cables to prevent signal repeated retransfer in cable. Multi point connection, use thinnest and BNC connector with CSMA/CD access method.

Advantages

2.2Ring

Every nodes are connected directly to each other, dependent on each other. Data transfers in one way direction (clock wise) using token. Use token passing method with IBM connector, STP cable.
 
How to operate

all data signals are transferred from one node to next node sequentially in one way direction in circular from.
 
the data are copied by the destination node and removed until it reached to the source.
 
Advantages
 
is never data collision.
 
Disadvantages
 
difficult to install.
 
expensive cable cost.
 
if one node in the network fails, the entire network will be break down.
 
2.3Star

All computers are connected to a central device (hub or switch) by individual cables. Can extend or disconnect node at any time. Use CSMA/CD access method with RJ-45 connector, UTP cable.
 
How to operate

all data transmitted in the network are transferred to the central device.
 
then central device retransfers to the destination node.
 
Advantages

can easily be changes.
 
the use of central device is easier to troubleshooting.
 
more fault tolerance.
 
Disadvantages

more cable cost.
 
can transfer only 100meters.
 
if central device fails, the entire connections will be break down.
 
3.Recommendation

We will recommend the star topology using UTP (category 6 or category7) cable via switch central device for LAN network. Use cross cable connected to switch and to node. All data signals will transfer to switch and switch retransfer to destination node. Can transferr longer distance. The reasons of my recommendation are
 
star topology is fault tolerance. if not central device fails, the entire connections will be continue process.
 
can easily move and changes.
 
using central device easier to troubleshooting.
 
UTP cheaper than other cable.

In order to fulfill the customer the success handling of delivery process is needed. Ensuring that customer orders are delivered effectively and efficiently is required. Delivering what you promised relies on seamless interaction between your business processes and the actual fulfillment service that you use. When the user orders the product, the system will check the stock in warehouse. Whether the stock is out of stock will check and select and check the product that need to deliver to the user. Then prepare the delivery process to deliver. There may use several delivery methods to send to the user.
 
The details delivery information is more sufficient, accurate order information, with sent, receive and processed automatically via website. Also several delivery methods (shipping, air, …) associated delivery information such as delivery charges should be announced on site. The system need to manage the process via website.
 
The product may be delivery by the own site or use of outsourcing delivery firm. The site needs to provide the details information. The following is the several ways to handle the delivery process.
 
If the system uses outsourcing delivery firm, online tracking systems must be needed. in order to check progress via website. Connect your delivery firm and customers to the system. Integrate your system with your website, then customer orders that arrive in your system can be transformed into orders to your delivery firm. This is so that they can benefit from more sufficient, accurate order information, with sent, receive and processed automatically via website. The system need to permit the permissions. Create specific account for delivery handler and customer. Gives the delivery handler write permissions only on delivery information only one page. The deliver handler can put the details information on site. Such as the current situation the delivery location, date, time, the deliver date and excepted receive date… etc. The system can monitor the process. The customer enables to log on to website in order to check progress of the product using product ID or specific account. The system also needs to contact the delivery handler to confirm the information. Until the product is receive by the customer. The information is return to the system and the system confirmed the information. May use email to notify or confirm a customer that an order has been dispatched. The system and delivery much be in touch communication. The process will more reliable to system. Use of this method the system needs to ensure that they are kept fully informed of progress at all times.
 
The other way is the system takes all responsible to update the required information from delivery handler. Process between the system and the customer. No middleman. The system handles all of importance information. Lower error rates.
 
Recommendation

We want to recommend to choose the second way, the system take all responsible to update the required information form delivery handler. The following is my reason. We suggest this method is safety and more complex way. However this may cause more loading, but the system can know all of situation through handling entire process and information is consistency. And can provide information at any time required by the customer. In order to success providing of update information system must be contact closely with delivery handler. The delivery handler needs to inform all of the details to system.
 
Some hardware and software needed to assist the process. There may be required telephone, email, fax to contact with customer. The network connection to provide the information to customer via website, firewall system to prevent authorized access. Computer accessories with operating system software and browser software are also essential.

The prevention of theft

Keeping the stock in secure and reduce the potential risk is very important for the system. The theft my come from outside or internal of the system will cause the system risk. May be the hardware or software cause the risk. The most common risk is stealing by the staff via a worse account. This may take the worst risk. The system must to prevent the treat that theft by staff.
 
Training the staff about the cost of stock, consistence stock may cause the major problem of company turnover and job security.
 
Regularly change staff controlling stock to prevent the potential problems.
 
Set up procedures to make theft difficult. Staff with financial responsibilities should not be in charge of stock records.
 
Restrict access to warehouses. Restricted access by using password, finger scan, specific card, lock and keys to login.
 
Immediately put it away to the secure place and record it when incoming new stock.
 
Install CCTV in warehouse and assign an alarm sound when unauthorized user accesses the restricted area.
 
Prevent by physical security guard.
 
Adjustment stock

We need to plan the measurement that required when theft occurs. One way is registered the stock, regular process with discover problems but put recommendation in the list. And assessed against potential loss forecast on a regular basis. Another is kept the stocks away without registering, finding problem in first. Losses accurately identified, recorded and assessed against potential loss forecast on a regular basis.
 
Make sure whether the stock is loss in the system or is already loss before enter to the system.
 
Must be informed the associate responsible person.
 
Discover all possible risk on stock and test all how the problem occurred.
 
Makes decision that needs to take responsible such as the system or third party.
 
The problem must finding in order to prevent at next time.
 
The stock record must be record integrity
 
Whether accuracy, damage or other problem record should be recorded.
 
Recommendation

The electronic security measure and adjustment plan is essentially needed to prevent the theft. The following is my recommendation hardware and method.
 
The restrict access to warehouse only the specific staff .
 
Should be login using the specific card or key.
 
And install the CCTV to monitor the staff and assign the alarm if unauthorized user is attempt to access the restricted area.
 
The following is my chosen method to adjustment stock:
 
First, the problem stocks need to keep away from other consistence stock without registering.
 
Make sure whether the stock is loss in the system or is already loss before enter to the system.
 
Need to contact the supplier to discover whether the stock is loss in the delivery process or any unclear problem has occurred.
 
Must be informed the associate responsible person.
 
Discover all possible risk on stock and test all how the problem occurred.
 
Makes decision that needs to take responsible such as the system or third party.
 
The problem must finding in order to prevent at next time.
 
任务六——Task 6

Task 1

In this task, we investigated the different online book site. Pay attention the fact in task 1. There are what and how the information is provided to the customer, what other services provided to the customer on website. There are describes the fact finding of above information. Then put the recommendation about these information for amazing books store.
 
Task 2

In this task, we investigated the different computerized stock control systems. Pay attention the fact in task 2. There are methods and hardware for recording new stock, processing orders, recording items dispatched and the process for determining the reorder levels, other hardware needed. There are describes the several methods and hardware of above task. Then put the recommendation about stock control system of the chosen methods and hardware.
 
Task 3

In this task, we investigated the all of network topologies and media used in the local area network. There is star, bus, ring topologies with bounded or unbounded media. Explain details of how the topologies operate with the media and advantages, disadvantages of these. Put the recommendation about for which topology and media chosen reason.
 
Task 4

Amazing books store the delivery the package to the customer using the courier company. The courier company takes responsible to delivery the package. The system need to monitor and record the delivery of information. Also need to inform the customer via website. This task is pay attention in how the necessary information informed to the customer via website and the hardware, software requirements. Put the recommendation above these tasks of chosen reason.
 
Task 5

In this task, we investigated the methods to prevent the staff stealing stock and how the system will control the inaccurate stock. There are several method to prevent theft such as CCTV camera, using security guard, password, specific card, etc… We describe the two ways of adjusting stock. And put the recommendation above these methods of chosen reason.
